POSITION SUMMARY:
The Executive Officers of the Union are the President, the Executive Secretary, and the Chief Financial Officer. Associated with the President as the second officer of the Union Conference, the Executive Secretary serves under the direction of the executive committee and acts as vicechairman of the executive committee [EXCOM]. The Executive Secretary has a major responsibility in the co-administration and management of the Union Conference. This includes developing and implementing strategic plans for fulfilling the mission of the church in collaboration with the other Union officers and departmental directors. Other important responsibilities include fostering consistent and unbiased policy interpretation and application as well as the preparation/preservation of all official records/statistics of the church in the Union Conference.

KEY ACCOUNTABILITIES

  1. Responsible for preparations for Constituency, EXCOM, ADCOM, Officer’s and other meetings and their agendas, as well as distribution of minutes therefrom and policies and resolutions of the SID EXCOM/ADCOM.
  2. Responsible for approving retirement applications of all employees in the Union Conference and processing them through EXCOM/ADCOM to the SID Retirement Office.
  3. Builds partnerships by improving interpersonal relationships, nurturing people, and developing joint ventures between and among the Conferences/Fields and other Union institutions.
  4. Oversees the gathering and consolidation of Union Conference Data that the General Conference requires for updating the Yearbook.
  5. Responsible for the preparation of a Union Conference policy book, employee handbook and the disciplinary and grievance code.
  6. Reports to the executive committee in consultation with the President, in the role of record keeper, statistician and policy coordinator.
  7. Works closely with Conference/Fields Executive secretaries to ensure that local churches function effectively as nurturing and witnessing Seventh-day Adventist congregations.

KEY PERFORMANCE INDICATORS

  1. On-going seminars for EXCOM members to help them to become more conversant with their duties, and for local Conferences/Fields secretariats to improve accuracy in statistics.
  2. Adventist Church Management System (CMS) and robust Quarterly Membership Audits adopted widely and on-going in the Union Conference territory in order to improve nurture and retention of members.
  3. Availability and distribution of a Union Conference Working policy book, Employee handbook and a Disciplinary and Grievance code to all relevant entities.
  4. An enjoyable Christian work environment at the Southern Zambia Union Conference office where every employee finds fulfillment and joy in serving the Lord effectively and efficiently.
  5. Compliance with church policies and relevant government legislations at all levels.
  6. An up-to-date records center with filing equipment suitable for sensitive documents.
  7. Timeliness in the discharge of all the duties of the SZUC secretariat office.
